Overseas Experiences Booking Conditions
Terminology
“Experience” – the overseas adventure trip you are booking (e.g. Arctic Circle Expedition, 3 Countries Ski Expedition, Greenland ACT).
“We/Us” – Go Wild Ltd t/a adventure.ie.
“Partners” – external providers of accommodation, food & beverages, airport transfers etc.
“You” – the person(s) making the booking.
- Contract
A contract is formed once you:
- Submit completed booking form.
- Accept the booking conditions.
- Pay the required deposit.
- Meet any specific trip requirements.
- Receive a written confirmation from us.
Where a booking is made for more than one person, the contract is not formed until all persons have met these conditions. We reserve the right to decline any booking at our discretion.
- Deposit & Payments
A non-refundable deposit of €200 (unless otherwise advised) is required to confirm your booking. This deposit enables logistical planning and secures your place. It is deducted from your final balance.
We operate a flexible payment scheme: you may pay the balance in instalments at any time.
50% must be paid no later than 120 days before the start date of your experience.
The final balance must be paid in full no later than 90 days before the start date of your experience.
If your booking is made within 90 days of the start date of your experience, fees must be paid in full at time of booking.
If these deadlines are not met, we reserve the right to treat your booking as cancelled and apply cancellation fees.
- Cancellation by You
We strongly recommend arranging travel insurance as early as possible to cover cancellation due to illness, injury, family emergency, or other unforeseen events.
Cancellations are effective only from the date we receive written notice by email at info@adventure.ie. The following cancellation fees apply:
121+ days before departure: Deposit retained. Balance refunded.
91 – 120 days before departure: 50% of total trip cost retained.
90–61 days before departure: 75% of total trip cost retained.
60 days or fewer before departure: 100% of trip cost retained.
For certain experiences, a booking may be transferrable to a nominated suitable person at our discretion and subject to an administration fee of €50 plus any partner administration charges incurred.
For some experiences, different cancellation terms may apply - these will be outlined at the time of booking.
- Cancellation or Changes by Us
Trips are guaranteed to depart with a minimum of four fully paid participants.
We make every effort to operate as planned. However, due to the nature of adventure travel, flexibility is required, and you both understand and agree that changes may occur. Any changes will be communicated to you as soon as practicable.
Substitutions: If local conditions (e.g. supplier or route closure, availability, sudden cost changes) affect the planned itinerary, accommodation, or meals, we may provide alternatives of similar standard and value. These substitutions do not entitle you to cancellation or compensation, provided the overall nature of the trip remains materially the same.
Cancellations: If we must cancel your trip (other than for Force Majeure), you may choose to:
- Receive a full refund of all fees and deposit paid to us, or
- Transfer your deposit and fees as credit towards a future trip.
We are not liable for incidental costs (e.g. flights, visas, vaccinations, equipment, training days, insurance excess, excursions).

- Zoom call (group)

- Accommodation as per itinerary
- Group return transfer from/to destination airport in destination country
- Meals as per itinerary
- Specialist equipment hire as listed
- UIMLA certified International Mountain Leader as your head guide
- High guide to client ratio

- What’s NOT Included
Not covered in your trip fee:
- Flights
- Costs accrued due to flight delays, lost baggage, or related
- Personal travel, medical and repatriation insurance
- Additional optional excursions outside the itinerary
- Transfers outside designated group transfers
- Beverages
- Meals not listed in the itinerary
- Visa and passport costs
- Personal clothing/equipment beyond listed specialist equipment
- Anything not explicitly included in itinerary
- Any costs arising from Force Majeure events (accommodation, meals, transport, flights, etc.)
- Flights, Visas & Travel Documents
We do not arrange flights. All flights, visas, passports, vaccinations, baggage, and personal travel arrangements are your responsibility. We accept no liability for costs, delays, or damages arising from flights, missed connections, cancellations, or baggage issues.
- Guide Authority & Code of Conduct
For safety or other reasons, your guide(s) may alter itineraries during your trip. Changes may or may not be explained at the time, depending on circumstances. Each of our overseas experiences is led by a UIMLA certified International Mountain Leader. Their experience and judgment meets the highest standards. If you fail to comply with a decision made by your guide, you may be directed to leave the experience immediately, with no right of refund.
You are expected to behave responsibly and respectfully. If you interfere with the well-being of the group or our ability to run a trip as planned, you may be directed to leave the experience immediately, with no right of refund. Any misuse or abuse of accommodation or equipment will be charged to you. You are expected at all times comply with the laws and customs of the countries visited and agree to travel in accordance with the principles of Leave No Trace. We may also elect not to carry you on any future trips booked.
- Age Requirement
Minimum age: 18 years.
Over 65: GP clearance required (insurance requirement).
- Force Majeure
We are not liable or obliged to provide compensation where a Force Majeure event affects our ability to fulfil the contract. This includes, but is not limited to: armed conflict, terrorism, civil unrest, government actions, strikes, natural disasters, extreme weather, epidemics/pandemics, and unavoidable transport disruptions.
We strongly advise comprehensive travel insurance that covers such scenarios.
- Insurance
Comprehensive personal travel insurance is essential for all overseas experiences. Insurance must explicitly cover the destination countries, list the activities of your itinerary and include rescue and repatriation.
It is a condition of booking that you submit to us details of your policy prior to travel.
For your peace of mind, we strongly recommend that your insurance also includes comprehensive flight delays/missed connections cover, cancellation and curtailment, personal liability, loss and theft.
Any damage incurred to rental equipment (other than standard wear and tear), or to huts/lodges must be paid for in full at time of damage incurred.
- Acceptance of Risk/Informed Consent
By booking, you acknowledge that:
- You have every opportunity to discuss with us any concerns you may have prior to or during the experience.
- Adventure travel is physically and mentally demanding, and risks of injury exist.
- Assisting guides may include trainees gaining qualifications.
- You are responsible for your belongings at all times.
- Guides may discourage alcohol during expeditions.
- You may opt out of activities before they commence.
- Delays (e.g. weather, flights) may occur and extra costs (transport, hotels) are your responsibility.
- Some/all of an expedition may be postponed due to weather or conditions.
- Participant Responsibilities
- You confirm you are physically and mentally fit for the e and will inform us of any concerns.
- You agree to behave in a responsible and respectful manner.
- You agree to follow guides’ instructions.
- You must report any injury sustained during the trip within 48 hours of returning to your country of origin.
- You have any visas (if required) to travel.
- Your passport must be valid for at least 6 months beyond your return date.
- Release of Liability
By booking, you release Go Wild Ltd (t/a adventure.ie), its staff, subcontractors, and partners from any claims or liabilities arising from your participation, except where prohibited by law.
- Governing Law & Jurisdiction
These Booking Terms & Conditions are governed by the laws of the Republic of Ireland. Any disputes arising from this contract shall be subject to the exclusive jurisdiction of the Irish courts.
